Quirky Kid is a child psychology practice supporting children, young people and families through evidence-based, creative and accessible care. We are a small, purpose-led business with clinics in Sydney and Wollongong, a growing digital service through BriteChild, and a strong commitment to making a measurable difference in children's lives.

The opportunity

This is not a purely administrative practice management role. You will take responsibility for the smooth day-to-day running of the practice while helping us improve systems, support clinical governance, strengthen business performance and grow our services.

Reporting to the Chief Operating & Growth Officer, you will work closely with the Principal Psychologist, Clinical Lead and administration team. You will be visible, hands-on and trusted to follow through.

What you will do

  • Lead the day-to-day operations of the practices and support consistent operations across the wider business.
  • Manage, guide and hold the administration team accountable through clear priorities, regular check-ins and practical support.
  • Maintain excellent client service, appointment flow, clinician support and timely follow-up.
  • Support clinical governance processes, including documentation, privacy and quality improvement.
  • Use practice data to monitor bookings, utilisation, cancellations, waitlists, revenue and service performance.
  • Identify practical ways to improve productivity and the client experience.
  • Maintain and improve policies, procedures, checklists and everyday systems.
  • Support NDIS, Medicare and other relevant billing, compliance and service requirements.
  • Coordinate onboarding, rosters, leave and performance processes for practice and administrative roles.
  • Work with technology, automation and AI tools to reduce repetitive work and improve accuracy.
  • Support marketing, referral relationships, new services, grants and other business growth projects.
  • Prepare concise reports and recommendations for the Chief Operating & Growth Officer.

About you

You are an experienced practice or operations manager who combines warmth with accountability. You can build trust with clinicians and administration staff, but you are also comfortable setting expectations, following up and addressing problems early.

  • At least five years of practice management, operations or team leadership experience, ideally in allied health, healthcare or disability services.
  • Working knowledge of NDIS requirements and experience in an NDIS or allied health environment.
  • Strong organisational skills and the ability to keep several workstreams moving at once.
  • Commercial awareness, including confidence working with budgets, revenue, utilisation, billing and performance reports.
  • Experience leading a small team and creating a positive, accountable working environment.
  • A practical understanding of clinical governance, privacy, risk and quality processes.
  • Confidence with practice management systems, Google Suits, and modern digital tools.
  • Curiosity about AI and automation, with sound judgement about privacy and appropriate use.
  • Clear written and verbal communication, good judgement and calm problem-solving.
